IMU PROJECT ASSOCIATE (Publications and Dissemination)
JOB SUMMARY
The Project-Based Publication Assistant will assist in managing, coordinating, and implementing the publication plans and deliverables. This role includes creating, editing, and distributing publications to ensure timely and accurate dissemination of information.
DUTIES AND RESPONSIBILITIES
- Publication Management
- Assist in the development and implementation of publication strategies to enhance the organization’s visibility
- Create, edit, and format content for various publications, including newsletters, reports, and brochures.
- Ensure all publications align with organizational standards and branding.
- Coordination and Communication
- Liaise with various departments to gather necessary information for publications.
- Coordinate with external vendors and stakeholders to ensure the timely production and distribution of publications.
- Implement feedback from stakeholders to improve publication quality.
- Quality Assurance
- Ensure accuracy and quality of all publication content.
- Conduct regular reviews and updates of publication materials.
- Provide technical support and inputs in the further improvement and management of the unit’s information systems, platforms, websites, social media accounts and databases.
- Dissemination
- Develop and implement dissemination strategies for the organization’s publications.
- Distribute publications to relevant audiences via appropriate channels, including email, social media, and print.
- Monitor and report on the reach and impact of disseminated publications.
- Project Monitoring
- Monitor the progress of the publication project to ensure it adheres to agreed timelines and budgets.
- Provide regular progress reports to the Head of the Information Management Unit.
- Manage risk assessments and mitigation strategies related to the project.
- Compliance:
- Ensure all activities comply with organizational and ISO standards.
- Maintain comprehensive records related to the project.
- Other Duties:
- Perform other tasks related to the project as assigned by the Head of the Information Management Unit.
QUALIFICATIONS
Educational Attainment
- A graduate of any bachelor’s degree, preferably in Communications, Journalism, Marketing, or a related field
Work Experience
- At least 1-year related experience in publication management, graphic design, content creation, and/or related work.
- Computer literate and knowledgeable in the use of Adobe Create Suite, Microsoft Office, WordPress, and other Graphic Layout and Editing Softwares
- Competent in project management and related skills.
- Capable of working with minimal supervision, with proven excellent written, analytical, presentation, and reporting skills.
